Printer troubleshooting checklist

A printer that says offline or suddenly stops printing does not always need to be replaced. These checks can help separate a printer problem from a computer, Wi-Fi, driver, queue, or setup problem before you spend money on new hardware.

1. Check what still works

Try printing from another computer or phone if one is already set up. If one device prints and another does not, focus on the problem device. If nothing can print, the printer, its network connection, or the shared setup is more likely to be involved.

2. Look at the printer itself first

Confirm the printer is powered on and not showing a paper, cover, ink, toner, jam, or other hardware warning. Clear only problems you can safely reach using the manufacturer's instructions. Do not force doors, trays, rollers, or cartridges that are not moving normally.

3. Confirm the connection type

Identify whether the printer uses USB, Wi-Fi, or Ethernet. For USB, reseat the cable at both ends and try a known working computer port. For Ethernet, check that the network cable is connected. For Wi-Fi, confirm the printer is connected to the intended local network rather than an old or guest network.

4. Check whether Wi-Fi changed

Printer problems often begin after a new router, changed Wi-Fi name or password, internet-provider equipment replacement, or moving the printer. If the printer is still trying to use an old network, reconnect it using the printer manufacturer's setup process. Do not send your Wi-Fi password in a support request.

5. Clear a stuck print job carefully

Open the print queue on the computer and look for a failed or paused job. Cancel jobs that are clearly stuck, then try one simple document again. Repeatedly clicking Print can create a long queue that makes the original problem harder to see.

6. Make sure the computer is using the right printer

Windows or an application may still be pointing to an old printer, a duplicate printer entry, a PDF printer, or a disconnected device. Confirm the selected printer matches the one you are trying to use before changing drivers or reinstalling software.

7. Restart before reinstalling everything

Restart the printer and the affected computer, then test again. If the problem is network-related, a normal restart of the router may also help when appropriate. Avoid factory-resetting the printer unless you know what settings will be erased and have the information needed to reconnect it afterward.

8. Check the driver or printer software

If the printer is detected but printing or scanning still fails, check the manufacturer's current support page for the model and operating system. Older software, duplicate printer installations, or a driver left behind after a Windows update can cause problems. Prefer the manufacturer's official download rather than third-party driver sites.

9. Test scanning separately

Printing and scanning can fail for different reasons. If printing works but scanning does not, test the manufacturer's scan app or the operating system's built-in scanning tools. A scan failure does not necessarily mean the printer connection itself is broken.

10. Decide whether the problem looks mechanical

Repeated grinding, damaged feed mechanisms, persistent paper jams in the same internal location, leaking toner or ink, or error codes that remain after normal setup troubleshooting may point to hardware failure. At that point, compare the age and replacement cost of the printer with the cost and availability of manufacturer or specialist repair.

Before you factory-reset the printer

A factory reset can erase Wi-Fi settings, address-book entries, scan destinations, stored network configuration, and other setup. If the printer belongs to a small business or is shared by several devices, document the current configuration before resetting it.
